Time Tracking

Unclear Work Hours? Use Time Tracking With Clear Privacy Rules

Pedinno Team··4 min read

A manager cannot tell whether a timesheet includes breaks, meetings or forgotten timers. Employees worry that installing a tracker will expose everything they type. Both concerns deserve a clear answer before rollout. Employee time tracking works best when the organisation defines what it measures, employees can see the policy, and managers interpret recorded time alongside the work delivered.

Separate time visibility from performance judgement

A daily total does not explain how the day unfolded. Someone may pause for a meeting, read a long document without using the mouse, or leave a timer running during a break. If a manager treats every idle minute as evidence of poor performance, the report becomes misleading. Decide which operational question you are trying to answer before selecting a tracker.

Useful questions include whether hours were recorded consistently, whether sessions contain unexplained gaps, and whether a team needs help managing its workload. Time information should support a conversation about those questions. It does not replace deliverables, quality review or the employee's explanation of their day.

Publish the tracking policy before installation

Tell employees what the tool collects, when it runs, who can see the records and how they can correct a mistake. Explain break and pause behaviour and any optional settings. Avoid introducing screenshots without discussing their purpose and scope. A readable policy and a visible privacy screen give staff a way to check the configuration instead of relying on assumptions about background monitoring.

  • Define when employees should start, pause and stop the timer.
  • Explain how meetings and non-computer work are handled.
  • Name the people allowed to review reports.
  • Document the correction process for forgotten timers.
  • Review optional screenshot and application settings before rollout.

How Pedinno Employee Time Tracker records the day

Pedinno offers desktop time tracking for Windows and macOS with start, pause, break and stop controls. Managers can review live status, minute-by-minute timelines and daily, weekly or monthly reports with CSV export. Statuses include tracking, idle, paused and not responding. Device management and an audit log support administration, while an employee-visible Privacy tab explains the tracking settings.

What activity information does and does not mean

Pedinno counts seconds with keyboard or mouse input per minute. It does not collect typed text, key sequences or passwords. Input activity is a limited signal: it can show interaction with a computer, but cannot establish the value of a design decision, a phone call or a planning session. Interpret active and idle periods in context and agree on how staff should record work that happens away from the desktop.

Keep optional screenshots a deliberate choice

Screenshots are off by default in Pedinno Time Tracker. If the organisation enables them, employees are informed in the app. Application names are also optional, and screenshot controls include policy settings and excluded applications. Confirm the exact configuration during onboarding rather than assuming every feature should be enabled. For many teams, session totals and a clear correction process may answer the initial visibility problem.

Pilot a week of real working patterns

Test tracking with volunteers whose work includes meetings, focused reading and breaks as well as computer input. Review whether sessions are understandable and whether staff know how to pause. Record unexplained gaps, timer corrections and questions about privacy. Ask managers to compare the report with actual assignments. Do not equate tracked desktop time with payable hours automatically; establish and verify your organisation's attendance and payroll rules separately.
