Owners Can't Read Ledgers? Record Money In and Money Out Instead

Pedinno Team··4 min read

The owner paid office rent from the bank, collected a customer payment in cash and moved money between two accounts — all in one afternoon. None of it is in the books, because only the accountant knows which voucher and ledger each entry needs. By month end the entries are rushed, a few are posted to the wrong head, and the bank balance no longer matches the statement.

Most entry mistakes are classification mistakes

Small businesses rarely lose track of money because nobody wrote it down. They lose track because the same event can look like several different accounting entries. A customer payment against an old invoice is not new income. A payment to a supplier is not a new expense if the bill was already booked. A loan received is a liability, not revenue, and only the interest part of an EMI is an expense.

When owners and office staff have to choose voucher types and ledgers themselves, these distinctions are where errors come from. The fix is not to train everyone in double-entry bookkeeping; it is to let them describe what happened and let the system apply the accounting rule.

Describe the event, not the voucher

Start every entry from a plain question: did money come in or go out, and why? From that answer, the right treatment follows. Keep a short list of the events your business actually has, so staff choose from familiar words rather than ledger names.

  • Customer paid us against one or more invoices.
  • We paid a supplier, with or without TDS.
  • We paid an expense such as rent, electricity or salary.
  • We deposited cash, withdrew cash or moved money between banks.
  • We took a loan, paid an EMI or received a loan repayment.
  • The owner put money in or took money out.

How Pedinno Smart Money Entry records it

Smart Money Entry opens with Money In or Money Out and fifteen quick actions for these everyday events. Each action asks only for the fields it needs, shows the debit and credit lines before saving, and posts through the same ledger the rest of Pedinno uses. Owners can also type an entry in English, Hindi or Hinglish — for example “Paid 12000 office rent from ICICI” — and review the draft voucher before confirming it.

Settle invoices, not just amounts

A customer often pays one round amount against several bills. Record which invoices the payment settles at the moment of entry. Partial settlements stay visible as balances, and anything paid in excess should be kept as an advance rather than income. Smart Money Entry lets the user tick the invoices a payment settles and keeps any excess on account for later adjustment.

Add an approval step for larger entries

Speed matters, but so does control. Decide which entries need a second person: payments above an amount, refunds, loan entries or anything posted by a new team member. A maker–checker rule with no self-approval catches most mistakes before they reach the books, and the reason for every rejection stays on record.

Reconcile the bank every week, not every year

Upload the bank statement weekly and match it against recorded entries while the details are still fresh. Investigate unmatched lines immediately: they are usually bank charges, interest or an entry nobody recorded. Pedinno can import CSV or Excel statements, suggest matches with a confidence level and prepare a Bank Reconciliation Statement. Your accountant should still review the final books and tax treatment before returns are filed.
